What We Offer

  • $28.08-$34.40/hour DOE with the ability to go higher for highly experienced candidates
  • $7,000 Hiring Bonus Structure
    • At Hire: $2,100.00
    • At 90 Days (3 months): $2,800.00

What You’ll Do:

  • Plans and manages the daily functions of the clinic front office.
  • Formulates and implements policies, procedures, and processes that meet the standards and requirements of the organization and various regulatory agencies.
  • Manages provider schedules to ensure correct appointment type is assigned, schedule is full, and daily targets are met. Verifies and adjusts schedule when providers are not available.
  • Maintains and books appointments for the Credit Manager and Behavioral Health Consultant.
  • Monitors the patient record filing system and ensures accurate and complete data is collected for all patients. Provides feedback and instruction to staff to ensure accuracy of patient files.
  • Develops and coordinates quality assurance activities for the front office. Coordinates patient file audits/reviews to comply with standards from The Joint Commission (TJC), Federal, State, and local regulations. Performs various audits to include Cash Box reconciliations and MyChart Proxy.
  • Reviews and monitors various reports from the Epic system including sliding fee eligibility and utilization, registry follow up, and patient wellness follow up.
  • Monitors daily work queues for clinic staff to ensure productivity, identify issues and allocates workload.
  • Manages AIDET patient communication surveys, compiles and communicates results, and makes any process or procedure changes necessary to improve results. Also manages TSF and Arcadia Tracking on a daily basis.
  • Manages the processing of all Release of Information requests. Coordinates with Risk Management regarding the healthcare information to be provided prior to the release.
  • Coaches, mentors and trains direct report staff. Assesses competencies of staff, provides continuous performance management and conducts employee performance evaluations. Addresses performance and/or behavior issues, clarifying expectations and providing feedback.
  • Participates in the recruitment and selection of staff. Provides orientation to outline job requirements and expectations, policies and procedures, and proper use of tools and equipment.
  • Creates and maintains an inclusive work environment that supports diverse ideas, backgrounds and styles. Supports diversity through the selection, management, and retention of diverse employees. Creates, drives and maintains an employee engagement culture.

Qualifications:

  • High School Diploma or General Education Diploma (GED). Associate’s Degree preferably in business or healthcare is preferred.
  • Five years’ experience in healthcare required. Associate’s Degree may substitute 2 years’ experience. Bachelor’s Degree may substitute 4 years’ experience.
  • One year’s supervisory experience managing employees and administering policies is preferred.

Knowledge/Skills/Abilities:

  • Bilingual (English/Spanish) preferred. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay.
  • Basic proficiency with a variety of computer programs including Word, Excel, and EPIC preferred.
  • Effective verbal, written, and listening communication skills.
  • Ability to work independently with minimal supervision.
  • Ability to effectively manage employees and administer clinic policies.
  • Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions.
  • Ability to work effectively in a fast-paced primary care environment.
  • Knowledge of medical terminology is required.
  • Knowledge of Patient Benefits Coordination preferred.

What You’ll Do:

  • Address patient billing inquiries and collaborate with the Billing and Medicaid Office for issue resolution

  • Inform patients on billing and payment practices, provide account details and balance information

  • Discuss medical insurance options, eligibility, and Managed Care plans with clients

  • Assist clients with insurance application process, track applications, and provide guidance on benefits

  • Educate clients on medical insurance coverage, help resolve card-related issues

  • Manage daily work queues for insurance, discounts, and Medicaid processing

  • Evaluate and process hardship or write-off requests, maintain billing adjustments

  • Stay updated on Managed Care and Medicaid program changes and updates

  • May perform Lead duties by acting as a liaison between line staff and the direct supervisor. Manage breaks, lunches, sick calls, and overtime. Provide insights to leaders regarding the skill level and performance of the employees. Responsible for providing training to new employees and existing staff when needed. Performs quality audits as directed.

Qualifications:

  • High School Diploma or General Education Diploma (GED)

  • One year’s experience with billing credit or patient benefits, preferably in a medical office, is required; Experience in special programs such as State Managed Care plans is preferred

  • Affordable Care Act (ACA) Certification: Must pass the ACA exam within 90 days of employment

  • Bilingual (English/Spanish) required at a level 9

  • Ability to prioritize work and handle various tasks simultaneously, with frequent interruptions

  • Ability to build effective relationships and interact professionally with patients, providers, and staff

  • Basic proficiency with Electronic Medical Records, Word, and Excel

What You’ll Do:

  • Maintain and update reports and registries for the Patient Care Health Home team, conduct audits for procedures/labs, and identify process improvement ideas

  • Handle patient registration and insurance verification, assist with Release of Information forms, manage mail and faxes

  • Provide Obstetrics support as needed, including running reports, maintaining the OB log, and providing consent forms and records to the hospital.

Qualifications:

What You’ll Do:

  • Formulates and implements policies, procedures, and processes that meet the standards and requirements of the organization and various regulatory agencies.

  • Answers questions from staff and provides guidance and feedback.
  • Assists in the formulation and management of performance targets for individuals and teams.
  • Measures performance with key metrics such as number of calls per Call Center Agent, queue time, call abandonment %, dropped calls, and customer service satisfaction levels.
  • Communicates and serves as a liaison between call center and all clinics scheduling coordinators are serving. Builds relationships with clinic supervisors from all clinics call center is serving.
  • Updates and maintains scheduling protocols for all clinics the call center is serving.
  • Creates improvement plans to optimize procedures and staff engagement. Ensures adherence to established policies and procedures.
  • Keeps management informed of issues and problems. Identifies any patterns and creates solutions to mitigate or eliminate them.
  • Participates in Clinic Leadership meetings and reports results and performance to the Clinic Director.
  • Performs other duties as assigned.
  • Management Duties:
  • Coaches, mentors, and trains direct report staff. Provides continuous performance management and conducts employee performance evaluations. Addresses performance and/or behavior issues, clarifying expectations and providing feedback.
  • Completes call audits on scheduling coordinators to ensure expectations of scheduling coordinators are being met during the phone interaction with the patient.
  • Supports staff growth and development. Assesses the educational and experience needs of all levels of staff in collaboration with the individual. Encourages staff to seek educational opportunities incorporating job related training in addition to mandatory training.
  • Participates in the recruitment and selection of staff. Provides orientation to outline job requirements and expectations, policies and procedures, and proper use of tools and equipment.
  • Manages AIDET patient communication surveys, compiles and communicates results, and makes any process or procedure changes necessary to improve results. Also manages TSF on a daily basis.

Qualifications:

  • High School Diploma or General Education Diploma (GED). An associate’s Degree is preferred.
  • Five years of call center, service center, contact center experience or five years of direct customer service experience in a supervisory or lead role. Associate’s Degree may substitute 2 years’ experience. Bachelor’s Degree may substitute 4 years’ experience.
  • Call center experience, preferably in healthcare is preferred.
  • Bilingual (English/Spanish) preferred. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay. Knowledge of medical billing and insurance is preferred. Knowledge of medical terminology preferred. Effective verbal and listening communication skills.Strong customer relations skills, including the ability to manage stressful situations. Basic conflict resolution and de-escalation skills. What You’ll Do:

  • Manage daily clinic front office operations, implement policies and procedures to meet organization standards and regulatory requirements, and coordinate provider schedules

  • Oversee appointments, patient record filing, and quality assurance activities, ensuring accuracy and compliance with regulations

  • Monitor reports, work queues, patient surveys, and information requests while coaching and training staff and fostering an inclusive work environment

  • Support diverse employees, engage in recruitment, performance management, and employee development, and perform various administrative tasks to ensure efficient clinic operations

Qualifications:

  • High School Diploma or GED + 5 years of experience in healthcare OR

  • Associate’s Degree in business or healthcare + 3 years of experience in healthcare OR

  • Bachelor’s Degree in business or healthcare + 1 year of experience in healthcare

  • One year of supervisory experience managing employees and administering policies is preferred

  • Bilingual (English/Spanish) preferred at a level 9

  • Basic proficiency in Word, Excel, and EPIC

  • Effective verbal, written, and listening communication skills

  • Ability to work independently with minimal supervision

  • Ability to effectively manage employees and administer clinic policies

  • Ability to multitask with adaptability to interruptions

What You’ll Do: 

  • Executes incoming calls, assesses client/patient needs, and identifies appropriate services that are comprehensive and individualized to best serve each client/patient.
  • Collects appropriate documentation to support and determine program services eligibility.
  • Assists client/patient with scheduling dates for appointments or classes.
  • Processes patient referrals for a variety of services including Medical, Dental, and programs including Behavioral Health.
  • Monitors and documents active referrals and client participation.
  • Assists patients with completion of applications and forms required by the program(s) they will participate in. Ensures patient information is complete and entered in appropriate data system.
  • Responds to basic questions from patients.
  • Provides follow-up contact with patient regarding service and referrals recommended. Encourages client participation and retention in various programs and classes.
  • Performs work to align with productivity goals and standards including # patients, # encounters, # appointments scheduled and # classes facilitated.
  • Provides program administrative support such as data entry, client file management, report development and contract compliance.
  • Coordinates and promotes YVFWC programs. Recruits clients/patients for dental services, medical services, social services or education classes. Reserves conference rooms, obtains supplies, organizes snacks for classes.
  • Presents program information in various internal and external community meetings and functions as requested.
  • Performs other duties as assigned.

Qualifications: 

  • High School Diploma or General Education Diploma (GED). 
  • One year of administrative support and customer service experience.
  • Two years’ administrative support experience in a social services or healthcare setting is preferred. Applicable license or certification.
  • Some positions may require program specific certification. 
  • Valid Driver’s License and proof of automobile liability insurance coverage. 
  • Bilingual (English/Spanish) preferred. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay. Ability to plan, coordinate and organize work projects. Ability to provide professional written and verbal presentations. Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions. Ability to effectively interact with the public, patients, and clinic staff in a professional manner. Ability to understand and apply program requirements and applicable local, state and federal guidance. Knowledge of the social and health agencies in the area and services they provide. Effective verbal, written and listening communication skills. Basic proficiency with a variety of computer programs including Microsoft Office, Word and Excel.

What You’ll Do:

  • Manage work queues regarding referral activity daily to ensure timely processing and/or completion.

  • Assist with patient referrals for additional services needed with internal and external medical facilities.

What You’ll Do:

  • Maintain and update reports and registries for the PCHH team, overseeing all registry work, including outreach, scheduling, and documentation. Review registry data to ensure compliance with workflows and procedures

  • Perform audits for invasive procedures and in-house labs, as well as other PCHH data and initiatives, providing audit documentation. Identify and communicate process improvement ideas to staff

  • Assist with the Release of Information forms, subpoenas, and court orders, forwarding them to the HIM department. Sort and distribute mail and faxes to appropriate recipients

  • Provide Obstetrics (OB) support by running reports, maintaining the OB log, and providing consent forms to the hospital. Offer chart review support to PAs and NPs, forward reviews to physicians, and maintain a log

Qualifications: 

  • High school diploma or General Education Diploma (GED) is required; an Associate’s Degree or Certificate from an accredited technical school is preferred  
  • One year’s experience working in an office setting is required (preferably a medical or dental office)  
  • Bilingual (English/Spanish) required. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay.  
  • Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions  
  • Ability to effectively interact with patients, providers, and staff in a professional manner  
  • Basic proficiency in Electronic Medical Records, Word, and Excel  
  • Basic knowledge of medical terminology desired

What You’ll Do:

  • Manage daily clinic front office operations, implement policies and procedures to meet organization standards and regulatory requirements, and coordinate provider schedules

  • Oversee appointments, patient record filing, and quality assurance activities, ensuring accuracy and compliance with regulations

  • Monitor reports, work queues, patient surveys, and information requests while coaching and training staff and fostering an inclusive work environment

  • Support diverse employees, engage in recruitment, performance management, and employee development, and perform various administrative tasks to ensure efficient clinic operations

Qualifications:

  • High School Diploma or GED + 5 years of experience in healthcare OR

  • Associate’s Degree in business or healthcare + 3 years of experience in healthcare OR

  • Bachelor’s Degree in business or healthcare + 1 year of experience in healthcare

  • One year of supervisory experience managing employees and administering policies is preferred

  • Bilingual (English/Spanish) preferred at a level 9

  • Basic proficiency in Word, Excel, and EPIC

  • Effective verbal, written, and listening communication skills

  • Ability to work independently with minimal supervision

  • Ability to effectively manage employees and administer clinic policies

  • Ability to multitask with adaptability to interruptions

  • Ability to work effectively in a fast-paced primary care environment

What You’ll Do:

  • Manage scheduling phone queue, transfer calls to appropriate staff

  • Schedule patient appointments based on guidelines and provider availability

  • Verify and update patient demographic and insurance information

  • Notify patients of schedule changes and adjust appointments

  • Assess patient needs to meet with Patient Benefits Coordinator, schedule appointments as needed

  • Handle daily scheduling work queues and provide patient outreach

  • Offer backup support to Front Office positions as required

  • May perform Lead duties by acting as a liaison between line staff and the direct supervisor. Responsible for maintaining the day-to-day flow of the department, including managing breaks, lunches, sick calls, and overtime. Provide insights to management regarding the skill level and performance of employees. Provide training to new employees and existing staff when needed. Perform quality audits and report findings to management.

Qualifications:

  • High School Diploma or General Education Diploma (GED)

  • One year of office, administrative, patient care, call center or customer service experience is required.

  • One year’s experience working in a call center, scheduling appointments, and/or clerical work in a healthcare environment is preferred.

  • Bilingual (English/Spanish) required at a level 9

  • Ability to prioritize work and handle various tasks simultaneously, with frequent interruptions

  • Strong interpersonal skills with the ability to interact with patients, providers, and staff in a professional manner

  • Basic knowledge of medical terminology is preferred

  • Basic knowledge of the Epic systems is preferred

  • Basic proficiency in Word and Excel

What You’ll Do:

  • Maintain and update reports and registries for the PCHH team, overseeing all registry work, including outreach, scheduling, and documentation. Review registry data to ensure compliance with workflows and procedures

  • Perform audits for invasive procedures and in-house labs, as well as other PCHH data and initiatives, providing audit documentation. Identify and communicate process improvement ideas to staff

  • Assist with the Release of Information forms, subpoenas, and court orders, forwarding them to the HIM department. Sort and distribute mail and faxes to appropriate recipients

  • Provide Obstetrics (OB) support by running reports, maintaining the OB log, and providing consent forms to the hospital. Offer chart review support to PAs and NPs, forward reviews to physicians, and maintain a log

Qualifications: 

  • High school diploma or General Education Diploma (GED) is required; an Associate’s Degree or Certificate from an accredited technical school is preferred  
  • One year’s experience working in an office setting is required (preferably a medical or dental office)  
  • Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions  
  • Ability to effectively interact with patients, providers, and staff in a professional manner  
  • Basic proficiency in Electronic Medical Records, Word, and Excel  
  • Basic knowledge of medical terminology desired

What We Offer

What You’ll Do:

  • Manage scheduling phone queue, transfer calls to appropriate staff

  • Schedule patient appointments based on guidelines and provider availability

  • Verify and update patient demographic and insurance information

  • Notify patients of schedule changes and adjust appointments

  • Assess patient needs to meet with Patient Benefits Coordinator, schedule appointments as needed

  • Handle daily scheduling work queues and provide patient outreach

  • Offer backup support to Front Office positions as required

  • May perform Lead duties by acting as a liaison between line staff and the direct supervisor. Responsible for maintaining the day-to-day flow of the department, including managing breaks, lunches, sick calls, and overtime. Provide insights to management regarding the skill level and performance of employees. Provide training to new employees and existing staff when needed. Perform quality audits and report findings to management.

Qualifications:

  • High School Diploma or General Education Diploma (GED)

  • One year of office, administrative, patient care, call center or customer service experience.

  • Bilingual (English/Spanish) required at a level 9

  • Ability to prioritize work and handle various tasks simultaneously, with frequent interruptions

  • Strong interpersonal skills with the ability to interact with patients, providers, and staff in a professional manner

  • Basic knowledge of medical terminology is preferred

  • Basic knowledge of the Epic systems is preferred

  • Basic proficiency in Word and Excel

What You’ll Do:

  • Address patient billing inquiries and collaborate with the Billing and Medicaid Office for issue resolution

  • Inform patients on billing and payment practices, provide account details and balance information

  • Discuss medical insurance options, eligibility, and Managed Care plans with clients

  • Assist clients with insurance application process, track applications, and provide guidance on benefits

  • Educate clients on medical insurance coverage, help resolve card-related issues

  • Manage daily work queues for insurance, discounts, and Medicaid processing

  • Evaluate and process hardship or write-off requests, maintain billing adjustments

  • Stay updated on Managed Care and Medicaid program changes and updates

  • May perform Lead duties by acting as a liaison between line staff and the direct supervisor. Manage breaks, lunches, sick calls, and overtime. Qualifications:

  • Affordable Care Act (ACA) Certification: Must pass the ACA exam within 90 days of employment

  • Bilingual (English/Spanish) required at a level 9

  • Ability to build effective relationships and interact professionally with patients, providers, and staff
