What You’ll Do:

What You’ll Do:

Address patient billing inquiries and collaborate with the Billing and Medicaid Office for issue resolution

Inform patients on billing and payment practices, provide account details and balance information

Qualifications:

What You’ll Do:

Answer the phone, transfer calls, and take messages as needed for the clinic
-
Greet patients and maintain the patient and visitor log. Notify the appropriate person of the patient’s arrival. Provide translation services to patients as needed
-
Ensure accurate and complete data and forms are collected for all patients. Create and maintain patient charts, register new patients, and update patient data in the computer
-
Schedule patient appointments according to scheduling guidelines, appointment type, and time needed. Notify the appropriate Provider of all patient no-shows and cancellations. Adjust and update the schedule for cancellations, new patients, and recall appointments
-
Verify patient insurance eligibility and obtain and file insurance documentation. Assist patients with questions regarding insurance plans as needed
-
Review and respond to patient questions in person, via phone, and through patient portal systems
-
Perform routine billing functions such as posting patient encounters, billing insurance companies, encouraging payment, taking payments, and generating end-of-day reports
-
Review cash box receipts and reconcile the cash box daily
-
Manage the referral process, working on referrals from inception through completion
-
Manage the recall process, including follow-up communication with patients for routine preventative care, treatment plan completion, and other appointments as needed
-
Ensure that clinic-generated documents are sent to the Health Information department and that office-related clinic documents are filed in the patient’s record
-
Create treatment plan estimates, review estimates with the patient, and collect upfront fees
-
Perform other duties as assigned
Qualifications

One year’s experience in a clinic, optometry or dental office preferred

Spanish Bilingual proficiency is required at level 9

What You’ll Do:
-
Plan and manage the daily functions of the clinic front office
-
Formulate and implement policies, procedures, and processes that meet the standards and requirements of the organization and various regulatory agencies
-
Manage provider schedules to ensure the correct appointment type is assigned, the schedule is full, and daily targets are met. Verify and adjust schedules when providers are not available
-
Maintain and book appointments for the Credit Manager and Behavioral Health Consultant
-
Monitor the patient record filing system and ensure accurate and complete data is collected for all patients. Provide feedback and instruction to staff to ensure accuracy of patient files
-
Develop and coordinate quality assurance activities for the front office. Coordinate patient file audits/reviews to comply with standards from The Joint Commission (TJC) and Federal, State, and local regulations. Perform various audits including Cash Box reconciliations and MyChart Proxy
-
Review and monitor various reports from the Epic system including sliding fee eligibility and utilization, registry follow-up, and patient wellness follow-up
-
Monitor daily work queues for clinic staff to ensure productivity, identify issues, and allocate workload
-
Manage AIDET patient communication surveys, compile and communicate results, and make any process or procedure changes necessary to improve outcomes. Also manage TSF and Arcadia Tracking on a daily basis
-
Manage the processing of all Release of Information requests. Coordinate with Risk Management regarding the healthcare information to be provided prior to release
-
Coach, mentor, and train direct report staff. Assess staff competencies, provide continuous performance management, and conduct employee performance evaluations. Address performance and behavior issues by clarifying expectations and providing feedback
-
Participate in the recruitment and selection of staff. Provide orientation to outline job requirements and expectations, policies and procedures, and proper use of tools and equipment
-
Build and maintain a positive, collaborative, and inclusive work environment that values diverse perspectives and approaches. Demonstrate strong leadership in hiring, managing, and retaining high‑performing team members from local communities. Foster a culture of employee engagement and continuous improvement

Qualifications:

Associate’s Degree preferably in business or healthcare preferred

Five years’ experience in healthcare required

Associate’s Degree may substitute 2 years’ experience

One year’s supervisory experience managing employees and administering policies preferred

Bilingual (English/Spanish) preferred. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay

What You’ll Do:
- Maintain and update reports and registries for the Patient Care Health Home (PCHH) team. Review registry data and ensure compliance with established workflows and procedures

What You’ll Do:
- Formulates and implements policies, procedures, and processes that meet the standards and requirements of the organization and various regulatory agencies
- Monitors the patient record filing system and ensures accurate and complete data is collected for all patients. Provides feedback and instruction to staff to ensure accuracy of patient files

- Creates improvement plans to optimize procedures and staff engagement. Ensures adherence to established policies and procedures
- Keeps management informed of issues and problems. Identifies any patterns and creates solutions to mitigate or eliminate them
- Participates in Clinic Leadership meetings and reports results and performance to the Clinic Director
- Performs other duties as assigned
- Management Duties:
- Coaches, mentors, and trains direct report staff. Provides continuous performance management and conducts employee performance evaluations Addresses performance and/or behavior issues, clarifying expectations and providing feedback
- Completes call audits on scheduling coordinators to ensure expectations of scheduling coordinators are being met during the phone interaction with the patient
- Supports staff growth and development. Assesses the educational and experience needs of all levels of staff in collaboration with the individual Encourages staff to seek educational opportunities incorporating job related training in addition to mandatory training
- Participates in the recruitment and selection of staff. Provides orientation to outline job requirements and expectations, policies and procedures, and proper use of tools and equipment
- Manages AIDET patient communication surveys, compiles and communicates results, and makes any process or procedure changes necessary to improve results. Also manages TSF on a daily basis
Qualifications:
- High School Diploma or General Education Diploma (GED). An associate’s Degree is preferred
- Five years of call center, service center, contact center experience or five years of direct customer service experience in a supervisory or lead role Associate’s Degree may substitute 2 years’ experience. Bachelor’s Degree may substitute 4 years’ experience.
- Call center experience, preferably in healthcare is preferred
- Bilingual (English/Spanish) preferred. Must demonstrate the ability to communicate at level 9 on the language proficiency scale to receive bilingual differential pay. Knowledge of medical billing and insurance is preferred. Knowledge of medical terminology preferred. Effective verbal and listening communication skills. What You’ll Do:
-
Manage scheduling phone queue, transfer calls to appropriate staff
-
Schedule patient appointments based on guidelines and provider availability
-
Verify and update patient demographic and insurance information
-
Notify patients of schedule changes and adjust appointments
-
Assess patient needs to meet with Patient Benefits Coordinator, schedule appointments as needed
-
Handle daily scheduling work queues and provide patient outreach
-
Offer backup support to Front Office positions as required
-
May perform Lead duties by acting as a liaison between line staff and the direct supervisor. Responsible for maintaining the day-to-day flow of the department, including managing breaks, lunches, sick calls, and overtime. Provide insights to management regarding the skill level and performance of employees. Provide training to new employees and existing staff when needed. Perform quality audits and report findings to management.
Qualifications:

High School Diploma or General Education Diploma (GED)

One year of office, administrative, patient care, call center or customer service experience
-
One year’s experience working in a call center, scheduling appointments, and clerical work in a healthcare environment is preferred
-
Bilingual (English/Spanish) required at a level 9
-
Ability to prioritize work and handle various tasks simultaneously, with frequent interruptions
-
Strong interpersonal skills with the ability to interact with patients, providers, and staff in a professional manner
-
Basic knowledge of medical terminology is preferred

What You’ll Do:

Manage the multi-line scheduling phone queue and transfer calls to appropriate personnel as needed
-
Schedule patient appointments for medical and integrated providers according to scheduling guidelines, appointment type, and time needed
-
Verify and update current patient demographic information including contact information, insurance, and income verification
-
Notify patients of schedule adjustments at the direction of the Supervisor, including rescheduled and canceled appointments. Update the schedule for any changes
-
Assess the patient’s need to meet with the Patient Benefits Coordinator (PBC) regarding benefits and insurance options. Schedule appointments with the PBC as needed
-
Manage various scheduling work queues daily, including Cancellation/No Show, Recall, Rescheduling, and Waitlist
-
Provide outgoing calls related to registries and outreach for patients
-
Provide backup support to other Front Office positions as needed
-
